How to Automatically Activate a Calendar Set on Fantastical on Windows


What to know

  • Fantastical lets you automatically activate calendar sets based on time and location.
  • From Fantastical’s Settings, select Calendars & Lists, select your calendar set, and choose Time or Location from the ‘Automatically activates at’ drop-down menu. Then set the time or location. 
  • You will need to provide location permission to Fantastical to activate calendar sets based on Location. Do this from Windows Settings app > Privacy & security > Location services.

Fantastical is an exceptionally popular calendar app that lets you connect and import your existing calendars from other services, subscribe to curated calendars, as well as activate a particular calendar set automatically based on time. If you’re someone who organizes events and tasks into different calendar sets on Fantastical, you can set them to switch or activate based on the time or where you are. Here’s how to set this up on the Fantastical app.

How to automatically activate a calendar set on Fantastical

Automatically activating a calendar set on Fantastical is quite easy. Here’s how to do so…

Based on Location

  1. For the feature to work, you’ll first need to ensure Fantastical has permission to use your location from Settings > Privacy & security > Location services. 
  2. Then open the Fantastical app, click on the More options icon in the top left corner, then select File > Settings.
  3. Then click on Calendars & Lists.
  4. Alternatively, from the calendar view option, select Manage Calendars.
  5. Select the ‘Calendar set’ that you want to activate automatically. In the bottom right corner, click on the Automatically activate at dropdown menu..
  6. Select Location.
  7. Now, enter the location based on which you want the calendar set to activate, and select a location.
  8. Click OK.
  9. Once set, the calendar set will automatically activate when you arrive at the chosen location. 
  10. If you instead want the calendar to activate when you’re leaving the location, select ‘Leaving’.

This feature can come in handy when you have two different calendar sets for home and work and you want them to switch automatically based on where you are.

Based on Time

Activating calendar sets on Fantastical works similarly. 

  1. Open Fantastical’s Settings page and click on the Calendars & Lists tab as before.
  2. Select the calendar set that you want to activate automatically based on time. Then click on the drop-down menu next to Automatically activate at, and select Time.
  3. Click on the time to change it.
  4. Select the time and click on the tick mark to confirm.
  5. Then select when you want to repeat it.

And that’s it! From now on, regardless of where you are, the calendar set will automatically become active at the time of your choosing.
